Overview of Job and Project Description Summary

Procurement Assistant is responsible for ensuring implementation of essential procurement and acquisition standards, applicable policies & procedures, tools, templates as per guidelines. S/He will support Procurement Officer in carrying out procurement processes to support program operations.

Procurement Officer

Key Responsibilities

  • Carry out core procurement duties in line with Operations Manual
  • Assist in and collect of quotations and bills/invoices from vendors.
  • Arrange and facilitate procurement committee meetings for approval/selection of suppliers/service providers.
  • Prepare vouchers for payments and other supporting documents for submission to Finance for timely release of payments.
  • Make follow up calls to venders and service providers for timely delivery of procured goods and services.
  • Maintain and update BPA and Tax Exemption trackers.
  • Support Procurement Officer in making arrangements and coordinating events.
  • Support Procurement Officer in making travel arrangements.
  • Carryout regular market pricing survey for routine supplies.
  • Collect Data for vetting of suppliers and service provider where applicable.
  • Perform other duties assigned by the supervisor.

Minimum required Qualification

  • University degree in Business administration or other discipline relevant to procurement
  • Specific sector experience of 2 -3 years
  • Excellent IT skills and High proficiency and MS Office suite
  • Previous experience in maintaining detailed procurement’s auditable records.
  • Excellent communications and writing skills
  • Fluency in written and spoken English.
