CHILD SAFEGUARDING: 

Level 3:  the post holder will have contact with children and/or young people either frequently (e.g. once a week or more) or intensively (e.g. four days in one month or more or overnight) because they work country programs; or are visiting country programs; or because they are responsible for implementing the police checking/vetting process staff.

ROLE PURPOSE:

HR Assistant will be part of the HR team in Pakistan, responsible for staff administration and professional HR support. S/he provides services in line with HR department objectives, policies and the applicable laws and regulations.

HR Assistant will be the key person of the operations team in country office Pakistan, responsible to carry out country level HR under the guidance of Head of HR.The objective of this position is to ensure smooth functioning of Human Resource activities.

KEY AREAS OF ACCOUNTABILITY :

  • Provide support to Coordinator HR and staff on interpretation and application of policies and procedures and on other HR related matters in line with Local labour laws & organizational guidance
  • Manage future Job Analysis and preparation of Job Descriptions/Specifications with Head of HR & department supervisors. 
  • Support with all recruitment and placement related activities of the Organization in Pakistan, while ensuring adherence to policies and procedures;
  • Prepare job advertisements as per guidelines
  • Assisting Head of HR in operational activities like short-listing, making arrangements for test/interview recruitment exercise
  • Conduct test and make calls for interviews
  • Informing Candidates about the selection or rejection of their candidacy
  • Support in vetting process for potential employees.
  • Conducting reference checks of the selected candidates
  • To assist in the preparation of the offer letter, job contracts and any other document in regards to recruitment.
  • Recording the process of Candidate Selection, writing salary justification and liasion with Head of HR on a regular basis regarding recruitment approvals, transfers, resignations, leave encashment, processing final payments etc
  • Ensure that personnel files are maintained as per approved checklist and provide files for audit as and when required.
  • Plan and develop orientation materials and ensure new employees are properly oriented and their induction with other departments, ensure evaluation at the end of Probation period
  • Liaise with Finance department and provide timely information to finance for the disbursement of salaries and allowances of staff, monthly time sheets, tax certificates and Salary Slips
  • Ensure staff health and life insurances and maintenance of record of claim and appropriate follow up with insurance companies
  • Coordinate with Insurance Company for the facilitations / claims handling and processing of invoices as per fluctuation.
  • Establish and maintain HRIS.
  • Ensure that timesheet record is maintained and effort report is submitted to Finance team.
  • Ensure that DTPs maintained and well organized.
  • Processing of final settlement of staff left as per Service standards.
  • Assist in processing of Clearances (Exit Interviews, Termination, Proper handing/taking over)
  • Ensure the maintenance of staff leave records according to the organization leave and benefit policy;
  • Update the HR tracker and quarterly reporting tracker.
  • Any other task assigned by line manager.

QUALIFICATIONS 

Master/Graduation preferably in Human Resource Management.

EXPERIENCE AND SKILLS

  • Total Work Experience 2-3 years and minimum of 2 years of of HR related experience;
  • Proficiency in using Internet, Microsoft Word, Excel & Outlook.
  • Ability to work independently
