Admin and Account Officer

The Admin and Account Officer is responsible for providing administrative support to ensure efficient operation of the office. This involves handling a variety of tasks related to organization and communication, as well as ensuring the smooth day-to-day operations of the office. Additionally, the role involves managing the financial bookkeeping of an organization, including handling accounts payable and receivable, monitoring and managing budgets, and ensuring that financial transactions are accurate and timely.

Key Responsibilities:

  • Manage office supplies stock and place orders.
  • Organize and schedule meetings and appointments.
  • Maintain office policies and procedures.
  • Manage accounts receivable and payable.
  • Monitor financial transactions and ensure accuracy.
  • Prepare and maintain financial reports and budgets.
  • Administrative Support:
  • Provide general support to visitors.
  • Handle requests and queries from senior managers.
  • Develop and maintain a filing system.
  • Bookkeeping:
  • Record day-to-day financial transactions and complete the posting process.
  • Reconcile sales taxes, payroll taxes, and bank accounts at the end of each month.
  • Invoicing and Payments:
  • Prepare invoices for customers and follow up on outstanding payments.
  • Process payments to suppliers and vendors.
  • Auditing and Compliance:
  • Ensure compliance with financial regulations and standards.
  • Assist with internal and external audits as needed.
  • Reporting:
  • Generate financial statements and reports detailing accounts status.
  • Provide regular updates on the company’s financial status to management.
  • Budgeting:
  • Assist in budget preparation and expense management activities.
  • Analyze financial discrepancies and recommend effective resolutions.

Qualifications:

  • Bachelor’s degree in Accounting, Finance, or related field.
  • Proven experience as an account officer or similar role.
  • Thorough knowledge of accounting and financial procedures.
  • Experience with accounting software (e.g., QuickBooks, SAP).
  • Advanced MS Excel skills including Vlookups and pivot tables.
  • Strong organizational and time-management skills.
  • Attention to detail and ability to handle confidential information.
