Job Summary

We are seeking a meticulous and results-driven Reporting Officer to join our team. The Reporting Officer will play a crucial role in ensuring that data from field activities is accurately captured, analyzed, and reported in a timely manner. This position demands strong analytical skills, attention to detail, and excellent communication abilities. The successful candidate will also be adept at high-quality editing and formatting, ensuring that all program-related documents meet professional standards. Proficiency in clear and effective language is essential for creating compelling reports and facilitating smooth communication across teams and with external stakeholders. The position will be based at CARE Country Office, Islamabad with travel (20%) to the field. The position requires working outside of business hours to coordinate with colleagues in other countries and across time zones.

Job Responsibilities and Tasks

1 - Reporting: (60% of Time)

  • Review reports to ensure clarity, proper language usage, coherent flow, and alignment with project proposals and donor requirements.
  • Ensure accurate capture, documentation, analysis, and reporting of field data in a results-based and timely manner.
  • Follow up with Senior Project Manager (SPM)/Project Manager (PM) to ensure timely submission of, monthly, quarterly, annual, interim and final report.
  • Ensuring and developing SOPs for sign-off on each report.
  • Maintain a calendar and reporting tracker to ensure that deadlines are met efficiently.
  • Follow up with the SPM/PM to ensure timely submission of monthly, quarterly, annual, interim, and final reports.
  • Ensure that all required annexures are provided by SPM/PM with the reports.
  • Ensure accurate information flow across all thematic areas of the project.
  • Maintain a calendar and reporting tracker to ensure that deadlines are met efficiently.
  • Efficiently meet commitments and deadlines in report development.
  • Provide support in project review, evaluation and audits.
  • Ensure accurate capture, documentation, analysis, and reporting in a results-based and timely manner.
  • Contribute significantly to the implementation of presentation and communication activities.

2 - Coordination: (15% of Time)

  • Coordinate with partners/stakeholders and ensure accurate flow of information within the Project team and with external teams within CARE and partner organizations.

3- Program Quality (15% of time)

  • Work in close coordination with the MEAL team to ensure data accuracy in reports.

4- Archiving (5% of time)

  • Take minutes of important meetings and circulate them among all stakeholders in close coordination with the supervisor.
  • Ensure all required SOVs are gathered and archived for each project. ensure proper Archiving of all reports.

5- Other responsibilities as assigned (5% of time)

  • Any other tasks or responsibilities based on organizational and programming needs as assigned by the Line Manager.

A) Qualifications (Know How)

Required

  • A University Degree in social sciences/ Bachelor’s degree (or equivalent) in business administration, social sciences and/or related field.
Desired
  • General ability to draft clearly and concisely ideas and concepts in written and oral form; specific skills in writing reports, concept notes, press releases and articles/stories for traditional and electronic media.
  • S/he should have an extensive experience in reporting, documentation, publication, and audio-visual material preparation in relation to conservation and development fields.
  • Knowledge of computer systems, internet navigation and various office application Strong communication and organizational abilities.   

B) Experience/ Technical Skills 

  • Minimum 5 year of experience in high-quality document editing and formatting.
  • Knowledge of donor guidelines and communication standards.
  • Strong interpersonal skills to build and maintain relationships with internal and external stakeholders.
  • Ability to manage multiple tasks simultaneously and meet deadlines efficiently.
  • Good Knowledge in project reporting and communications as demonstrated by successful work experience.
  • Demonstrated basic practical experience of coordinating with donor agencies and partner organizations. 
  • Fluency in written and spoken English and Urdu; knowledge of any other local language will be preferred.
  • Excellent computer skills (MS office).
